Brand Vaarta (“we”, “us”, “our”) provides customized corporate gifting, branded merchandise, and employee onboarding kits primarily on a made-to-order, B2B basis. Due to the customized and bulk nature of our services, this Refund & Returns Policy outlines the limited circumstances under which returns, replacements, or refunds may be considered.
By placing an order with Brand Vaarta, you agree to the terms stated in this policy.
2. Customized & Made-to-Order Products
Most products supplied by Brand Vaarta are:
Customized with client branding (logos, colors, messaging), and/or
Procured or produced specifically against a confirmed order
As a result, such products are generally non-returnable and non-refundable once production has commenced or goods have been dispatched.
3. Eligibility for Replacement or Refund
We may consider replacement or refund only in the following situations:
3.1 Damaged Products
If products are received in a visibly damaged condition due to transit-related issues, the Client must:
Notify Brand Vaarta within 48 hours of delivery
Provide clear photographs/videos of the damaged items and outer packaging
Upon verification, we may offer:
Replacement of damaged items, or
Partial refund, at our discretion
3.2 Incorrect or Defective Products
If products delivered differ materially from the approved specifications (e.g., wrong item, incorrect branding, or manufacturing defect):
The issue must be reported within 3 business days of delivery
Supporting evidence (images/videos) must be shared
After internal verification, Brand Vaarta may:
Reproduce and replace the affected items, or
Issue a partial refund or credit note
4. Non-Refundable Scenarios
Refunds or returns will not be applicable in the following cases:
Change of mind after order confirmation
Minor color or finish variations inherent to printing or manufacturing processes
Errors arising from client-approved artwork, designs, or specifications
Delays caused by courier partners, customs, force majeure events, or incorrect delivery details provided by the Client
Products already used, distributed, or altered after delivery
5. Order Cancellations
Orders may be cancelled only before production or procurement has commenced
Once branding, customization, or sourcing has started, cancellation is not permitted
Any advance payment made may be forfeited depending on the stage of order processing
Cancellation requests must be submitted in writing via email.
6. Refund Processing
Where a refund is approved:
Refunds are processed to the original payment method
Processing time is typically 7–10 business days after approval
Bank charges, transaction fees, or taxes (where applicable) may be deducted
GST components are refunded strictly in accordance with applicable tax regulations.
7. Shipping & Return Logistics
Physical returns, if approved, must be shipped as per Brand Vaarta’s instructions
Unauthorized returns will not be accepted
Return shipping costs may be borne by the Client unless the error is attributable to Brand Vaarta
8. Force Majeure
Brand Vaarta shall not be liable for delays, damages, or non-performance caused by events beyond reasonable control, including but not limited to natural disasters, strikes, government restrictions, logistics disruptions, or pandemics.
9. Policy Modifications
Brand Vaarta reserves the right to modify or update this Refund & Returns Policy at any time without prior notice. Changes will be effective upon posting on the website.
